These Terms of Service ("Terms") govern your use of RFPfit.com ("RFPfit," "we," "us," "our") — a catalog of Canadian public-sector procurement opportunities and related account features. By creating an account or otherwise using RFPfit.com, you agree to these Terms. If you don't agree, don't use the service. See our Privacy Policy for how we handle your information — it's referenced here but is a separate document.
What RFPfit.com is
RFPfit.com aggregates Canadian public-sector procurement notices from official open-data sources and surfaces the ones that fit a specific supplier wedge — creative, media, communications, public consultation, training, research, evaluation, accessibility, digital, and nonprofit-adjacent services. See the FAQ for what's live today and Sources for exactly which government sources we cover and under what licence.
Accounts and eligibility
You must be able to form a binding contract to create an account, and you must be authorized to act on behalf of any organization you create or join on RFPfit.com. Sign-in uses passwordless magic-link email or, optionally, Google sign-in — RFPfit never asks for or stores a password. Creating an account also creates an organization workspace that other people you invite can join; you're responsible for the accuracy of the account and organization information you provide, and for anything that happens under your account. Tell us promptly if you believe your account has been accessed without authorization.
Acceptable use
You agree not to:
- Scrape, bulk-download, or republish the RFPfit.com catalog in a way that conflicts with the licence terms of the underlying government source — see Sources for each source's licence and attribution requirements.
- Interfere with or disrupt RFPfit.com's operation — including attempting to bypass access controls, probing or testing the security of the service without our prior written authorization, or overloading the service with automated traffic outside normal use.
- Misuse another organization member's access, or access data belonging to an organization you're not an active member of.
- Use the service for any unlawful purpose, or to misrepresent your identity or your organization.
- Reverse-engineer, decompile, or attempt to extract the source code of RFPfit.com, except as applicable law expressly permits.
We may suspend or terminate access for anyone who violates this section — see "Suspension and termination" below.
Procurement data and third-party source limitations
The procurement notices in the RFPfit catalog are official public records published by government sources — currently CanadaBuys (federal), SEAO (Québec), and the City of Toronto — under each source's own open licence (see Sources for licence details and attribution). We don't author, control, or verify that underlying data. A notice's status, deadline, or details can change, close, or be withdrawn by the issuing authority at any time, and our catalog may not reflect that change immediately — always confirm current details against the official notice link before acting on it. RFPfit.com is an independent service and is not affiliated with, endorsed by, or acting on behalf of any procurement authority. Our coverage is also limited to the sources and supplier wedge described above — it is not a complete record of every Canadian public-sector procurement opportunity, and we make no claim that it is.
Fit Intelligence and other automated analysis
RFPfit's paid Fit Intelligence feature scores how well a procurement opportunity matches your organization's profile. As described in our Privacy Policy, this scoring is deterministic and rule-based today — it is not generated by an AI model, and we don't claim accuracy beyond what that rule-based method actually delivers. Whether an automated feature on RFPfit.com is rule-based (as Fit Intelligence is today) or, if we ever add one, AI-generated, it is provided for informational and organizational convenience only. It is not procurement, legal, or business advice, it may be incomplete or wrong, and it must not be the sole basis for a bid/no-bid decision.
No guarantee of winning bids or complete opportunity coverage
RFPfit.com helps you find and organize procurement opportunities — it does not guarantee that the catalog includes every opportunity relevant to your organization, that any opportunity shown is still open or accurately described, or that using RFPfit.com will result in you winning, or even submitting, any bid. RFPfit.com does not submit bids, prepare proposals, or communicate with buyers on your behalf.
Your responsibility for bid decisions
You're solely responsible for deciding whether to pursue any opportunity, for confirming your eligibility and the current requirements directly against the official notice and buyer, and for preparing and submitting any bid in compliance with the buyer's process. Nothing on RFPfit.com — including a saved opportunity, a note, or a Fit Intelligence score — replaces reading the official solicitation documents yourself.
Paid subscriptions and billing
RFPfit.com's public catalog and a free account tier are free to use today — see Pricing. A paid tier, RFPfit Pro, is planned but not yet available, and no price for it is public or committed as of this writing. When paid subscriptions become available, they'll be billed through Stripe, a third-party payment processor — RFPfit.com never receives or stores your full card number (see Privacy Policy). Paid subscriptions will renew automatically for successive billing periods until cancelled; the exact price, billing cycle, and any applicable taxes will be shown to you before you subscribe. Only an organization's owner role can manage its subscription.
Cancellation and refunds
You'll be able to cancel a paid subscription at any time from your account; cancellation takes effect at the end of your current billing period rather than immediately, and you keep paid-tier access until then. As a general rule we don't offer refunds or credits for a partial billing period, except where required by law or where we decide to make an exception at our discretion.
Intellectual property
RFPfit.com's software, design, branding, and the Fit Intelligence scoring methodology belong to us or our licensors. The procurement notice content itself is not our intellectual property — it's public information published by the government sources listed in Sources under their own open licences, which we redistribute under those licences with the required attribution. You retain ownership of any note or content you add to a saved opportunity; by adding it, you grant us the licence needed to store and display it to other members of your organization workspace.
Disclaimers and limitation of liability
RFPfit.com is provided "as is" and "as available," without warranties of any kind, express or implied, to the maximum extent permitted by law — including any warranty that the service will be uninterrupted, error-free, or that any procurement data or automated analysis is accurate or complete. To the maximum extent permitted by law, RFPfit.com will not be liable for any indirect, incidental, or consequential damages, or for any lost bid, lost opportunity, or lost profit arising from your use of, or inability to use, the service — including reliance on procurement data sourced from a third party or on a Fit Intelligence score. Some jurisdictions don't allow certain warranty exclusions or liability limitations, so parts of this section may not apply to you; nothing in these Terms limits any right you have under applicable law that cannot be limited by agreement.
Suspension and termination
We may suspend or terminate your access to RFPfit.com if you violate these Terms, or if we reasonably believe your use poses a risk to the service or other users. You can stop using RFPfit.com, or ask us to close your account, at any time — self-serve account deletion isn't built yet, so a closure request goes through the contact below. See our Privacy Policy for what happens to your data after your account closes.
Changes to these Terms
We may update these Terms as RFPfit.com changes. If we make a material change, we'll update the "Last updated" date above and, where appropriate, let existing account holders know. Continuing to use RFPfit.com after a change takes effect means you accept the updated Terms.
Governing law and general terms
RFPfit.com is built and operated in Canada, and these Terms are governed by the laws of the Province of Ontario and the laws of Canada applicable in Ontario, without regard to conflict-of-law rules. If any part of these Terms is found unenforceable, the rest still applies. These Terms, together with our Privacy Policy, are the entire agreement between you and RFPfit.com about your use of the service.
